4. purpose of data collection, data processing or data use

Data collection and processing serves the marketing, selling as well as mediation of products and services including all associated subsidiary business transactions. Secondary purposes are accompanying or supporting functions such as predominantly: personnel-, agents-, supplier- and service provider administration.
Further purpose is the administration of own assets and strategic, organizational and business consulting of enterprises, banks, funds and other financial institutions, to the extent permitted by law and regulatory provisions are not required for this purpose, as well as to acquire and hold participations in other companies.
Video surveillance is used for the collection of evidence in case of vandalism, invasion or other criminal offences.
The execution of saving and processing of personal data is performed for the company’s own purposes as well as in the name and on behalf of its affiliates in accordance with the terms and conditions of the service agreements stipulated within the Group.

5. description of the groups of individuals concerned

Personal data, as to say, categories of data for the following groups – as essentially explained below - are collected, processed and used in order to fulfil the purposes mentioned under point 4:
customers (address data, including phone number, telefax and e-mail data, information, bank accounts);
interested parties/non-clients (address data, areas of interest, quotation data);
applicants (basically application details, data on professional career, education and qualification, possible previous convictions);
employees, trainees, student apprentices, retired persons, former employees and dependents; contract, master and billing data (details of private and business addresses, area of activity, salary payments, name and age of family members where relevant for social security benefits, wage tax data, bank account details, assets entrusted to the employee);
data for personnel administration and control;
timekeeping data and access control information;
schedule management data;
communication data and data for processing and monitoring of transactions as well as for technical systems;
emergency contact data on persons selected by the employee, who are to be contacted in an emergency;
commercial agents / intermediaries / brokers / agencies (address-, business and contract data, contact information);
suppliers / service providers: (address data, contact details, bank account details, contract data, schedule management data, billing information and performance data);
contact persons for the above-mentioned groups;
other category of persons: video recordings

6. recipients or categories of recipients of data
 Public authorities which receive data based on legal regulations (e. g. social insurance providers, tax authorities, regulatory bodies).
Internal departments which are involved in carrying out the relevant business processes (basically personnel management, bookkeeping, accounting, purchase department, marketing, general administration, sales department, telecommunications and IT).
External contractors (service providers) according to § 11 BDSG.
Further external institutions such as credit institutions (salary payments, companies – provided that the concerned has granted its prior written approval – or data transfer is permitted by predominantly legitimate interest).


7. data transfer to third party countries
Data will only be transferred to third countries within the framework of the fulfilment of the contract, for purposes of necessary communication or explicitly provided exemptions according to the Federal Data Protection Act (BDSG). Otherwise, data is not being transferred to third countries; such transfer is not planned either. 
8. statutory periods for the deletion of data

The legislative body prescribes a variety of obligations and periods concerning retaining and deleting data. After expiration of these periods, the corresponding data is routinely deleted if it is no longer necessary for contractual fulfilment. Hence, the commercial or financial data of the past fiscal year is deleted after ten more years corresponding to legal regulations, unless a further storage of data is specified or necessary for legitimate reasons.


Shorter deletion periods are realized in relation to particular requirements (e. g. in personnel management for possible declined applications or warning letters). Provided that data is not affected by the aforesaid, such data shall be deleted if the purposes specified under point 5 cease to apply.
